Staff Duties

PRESIDENT:

​

The president plans, organizes and carries out responsibilities associated with the associatiions chief executive officer role.

​

You are the model members will follow; attendance, a positive attitude and working with the members interests in mind are most important.

​

Provide Supportive Leadership

​

Establish a climate of enthusiasm, openness and concern. Follow up, congratulate and listen.

​

Make it apparent that you are concerned and accessible. Seek input and explore alternatives before making important decisions.


With members input, create and abide by an agenda for each meeting, program or event.

​​

Arrange and conduct a board of directors meeting monthly.

​​

Make certain that each board meeting is well planned and organized, flows smoothly, ends on time and that each member has fun and fellowship.

​

Conduct and preside over regular meetings, making certain the vice president is prepared to preside in your absence.


Develop a good working knowledge of parliamentary procedure.

​

Lead the entire membership in a well-rounded program of activities and projects.

​

​Recruit and retain members.

​​

Make certain all members are active and involved. Membership is the lifeblood of the association and its level of service.

​

​Plan strategy and set goals

​​

Continuously monitor the club’s progress toward goal accomplishment and the activities and responsibilities of all officers and appointees.

​​

Select committee chairmen and make special appointments.

​​

Define the specific role and responsibilities of each appointee, your specific expectations including time frames for achievements, and the types of skills and capabilities a person needs to achieve success in the position.

​​

Work with committee chairmen on their proposed projects.

​

​Receive help and information from the past president and assist the new president in every way possible to learn about the office and your association.

​

VICE PRESIDENT:

​

​-Support the president in administering the Constitution and By-Laws of the association.
-Serve in the absence of the president.
-Plan Programs and Education
-Work with the president to plan an annual goal-setting retreat for officers and board members to attend.
-Oversee the Committee System and assign members to serve on committees.
-Collect all of the monthly reports of the committees and turn them in to the secretary.
-Attend the associatiions board of director meetings.
-Assist the vice president-elect in becoming acquainted with his/her duties and receive all materials and knowledge base from the past vice president.

SECRETARY:

​

Maintain all of the records, files and details that are important for the smooth operation of the associiation.
Inventory of all association property
-Constitution and By-Laws
-Association Guidebook
-Minutes of all regular meetings and board meetings. Make sure that attendance is taken at every meeting. List of guests attending. Speaker and subject.
-Copies of current and past association newsletters and magazines and other publications
-Collected committee reports from committee chairmen.
-List of committee chairmen and members.
-Prepare board of directors meeting agenda with president.
-Work with the president in completing the Annual Achievement report and any other award applications for your Key Club.
-Attend the board meeting and take the minutes.
-Collect the monthly committee reports.
-Submit monthly reports
-Maintain membership and officer rosters
-Announcements -Any motions or decisions acted upon by the membership
-Send thank you and/or congratulatory notes on behalf of the associiatiion.
-Assist the secretary-elect in becoming acquainted with his/her duties and receive all materials and knowledge base from the past club secretary.

TREASURER:

STATE DIRECTORS:

​

We have members in almost all the states and are now receiving International members. They all have or need directors. Directors are responsible for finding a place in their state where that states members can meet. Places to meet can be parks, community centers, libraries, schools, lions club ect. Directors also administer their states facebook group page we have for that state. They answer member posts and questions ect. and they use the page to post about meetings, events and classes in their states. At each months state meetings the director is in charge. At your meetings you may hold a class on let’s say the Cherokee language. A teacher would teach the lesson at that meeting. A meeting may be to hold an event such as a member birthday, weddings, holidays ect. It’s your state. You meet once a month as a group. You use the time to do as you see fit. We meet as a whole a association once a year, where all of our members from all of our states come together.

TEACHERS:

​

Teach to their state members about the Cherokee. Each month you meet it can be about many topics from how the Cherokee lived, or Cherokee beading, pottery, arrowhead making and on and on.

​

WEB ADMINISTRATORS:

​

Help with our facebook page. They accept friend request, answer messages and post on the page Cherokee related topics.

​

NEWS STAFF:

​​

Produces an association newsletter.

​

ELDERS COUNCIL (Ages 60 & Up):

​

Elects a Chairman to serve as their leader. The chairman appoints elders from all states to serve on council.

​

YOUTH COUNCIL (Ages14-18):

​

Elects a Chairman to serve as their leader. The chairman appoints youth from all states to serve on council.

​

WARRIORS SOCIETY:

​

The Warriors Society is a society of members who are also military veterans, and who were honorably discharged from military service. Most of the society members participate in the Gourd Dance.

​

​Membership in this society is open to all veterans of any branch of military service.

​

GOODWILL AMBASSADORS:

​

Take up food, toys, clothes ect for our members in need of assistance.
